This guide shows you how to make a Bar Chart or Word Cloud show counts or totals of Records per group, such as Tasks per status or per month, without loading every Record into the page.
Prerequisites
- An Experience open in the Experience Designer
- A Schema whose Records you want to chart
Step 1: Add the Chart
- Add a Visualisation block to the page.
- In its settings, under Visualisation, set Component to Bar Chart or Word Cloud.
Step 2: Choose the Grouped Query Source
- Open Bar Chart Settings (or Word Cloud Settings).
- Set Data source to Grouped query (one group each).
- Pick the Schema whose Records the chart groups.
Step 3: Pick the Groups
- For a Bar Chart, pick the Category property: each value is one category on the axis. For a Word Cloud, pick the Words property: each value is one word.
- If the property is a date, choose Group dates by: Day, Week (from Monday), Month, Quarter or Year, or Exact value.
- Optionally, for a Bar Chart, pick a Series property. Each category then shows one bar per series value, with a legend.
- Optionally, when a group property is a date, set its Date labels format: Default, a Preset (such as Medium or Long), or a Custom pattern (such as
MMM yyyy). The format applies to every date group of the chart.
You can group by text, number, yes/no, date and duration properties, and by when Records were created or updated and by whom.
Step 4: Pick the Value
- Choose the Value (or Word size): Count of Records, or the Sum, Average, Minimum or Maximum of a number property.
- For anything but a count, choose the number property under Of.
Step 5: Narrow and Limit the Groups
- Optionally, add a Filter to chart only some Records. Filters can use page data and experience parameters, as block query filters can.
- Optionally, set Most groups shown (default 100, at most 1000). When there are more groups, the chart shows the first ones and notes Showing first N of M groups. With a series, each category and series pair is one group, so the last category shown may be missing some of its bars.
What Viewers See
- Groups appear in ascending order of their values; Records with no value are grouped under (none), shown last.
- With a Date labels format, dates are labelled in that format, in the viewer's locale and timezone. A date grouped by period is formatted as the first day of the period, so choose a format that shows the period, such as
MMM yyyy for months or yyyy for years. - With the Default format, a date grouped by period is labelled with its period in the viewer's locale, such as Mar 2025 for a month, Q2 2025 for a quarter, Week of Mar 3, 2025 for a week, or 2025 for a year. A date grouped by its exact value uses the property's default format, when the Schema sets one.
- The chart counts only Records the viewer can read. On a public Experience, give the space's guest role read access to the Schema, as for any data shown publicly.
- If the settings cannot be charted, for example a value that is not a number, the designer shows the reason under the settings and the chart shows Chart unavailable with the same reason. Viewers of the published Experience see only Chart unavailable.
- Values are formatted for the viewer's locale, with at most two decimal places.
- The chart loads in the viewer's browser after the page appears.
